Exhibitors and their registered staff will be issued with exhibitor badges. To avoid congestion, a maximum of 4 badges will be issued per table. For shared tables, a maximum of 4 badges will be issued per table. For security reasons, exhibitors and their registered staff must wear their badges throughout the convention.

Registered exhibitors can enter and set up their booths from 8:00 on the day of the show. Departure time is from 17:30 to 18:00 on the last day of the exhibition.

All Bourse Tables must remain OPEN until closing time during each day of the convention. Exhibitors should not vacate their table before the official move-out time on the last day of the convention, unless special permission has been given by the Organiser. Full details of Bourse Table Operating Hours are in the Event Schedule.

Each exhibitor’s Bourse Table Fee includes the use of one 6-foot long table (with an additional small side table for corner tables), two showcases (three for corner tables), a fascia board and exhibitor badges. Occupation of a vacated table without the consent of the Organiser is not allowed. Such an act will constitute grounds for expulsion from the current convention and debarment from future conventions. Inspections of the Bourse Area will be made regularly by security and floor personnel to ensure compliance.

Exhibitors must keep their table in an orderly manner. Exhibits should be displayed in a way that is both professional and compatible with the image of the convention. Bourse Tables must be manned by authorised, competent and knowledgeable staff at all times during the convention.

The Organiser has the right to remove any bills or posters which, in its opinion, do not conform with the purpose and image of the convention.

All property and goods, including without limitation all publicity material brought by exhibitors into any part of the exhibition venue, are brought at the exhibitor’s own risk. The Organiser does not guarantee the safety and security of such property or goods and shall not in any way be liable or responsible for any theft, loss or damage thereof. For the avoidance of doubt, the showcases, cabinets and other storage facilities as provided by the Organiser in any part of the exhibition venue including, without limitation, tables, space and raw space, are for exhibition purposes only.  Exhibitors are solely responsible for the safety and security of all their property or goods stored in such showcases, cabinets and storage facilities at all times.

The Organiser undertakes no financial or legal responsibility for any type of risk concerning or affecting exhibitors, visitors, their personal belongings and exhibits. Exhibitors are therefore responsible for taking out all necessary insurance to cover their exhibits, the venue and other third parties.

Exhibitors are also required to comply with Section 40 of the Employees’ Compensation Ordinance, Cap.282 (“ECO”) to cover their liabilities – both under the ECO and common law for injuries at work in respect of all their employees, irrespective of the length of employment contract or working hours, full time or part time, permanent or temporary employment.
